CF Signature Standards and Email Updates

Your email signature is often an opportunity to make a good first impression as a representative of CF. A standard, consistent and clean email signature facilitates communications with our constituents: students, colleagues and community members. The signature is designed to maximize contact information while presenting a professional image. The following sample is the approved format for email signatures for faculty and staff for @cf.edu email accounts.

Please do not add personal messages, artwork, quotes, background, etc., that are not a part of the CF brand and that are not included in this sample as these distract from our message. Please note that photographs and icons that accompany your college email, Zoom or other profile should also be professional.

To create a signature:

  • Copy an existing sample signature (including logos and disclosure statement from the above Word document).
  • In Outlook, go to File, then to Options.
  • Go to Mail, then to Signatures.
  • Click New, then name your signature.
  • Paste the sample signature you copied earlier into this space.
  • Update with your information and click OK to save.
  • Please note full addresses for other CF locations

As a reminder, please adjust your email, voice mail and out-of-office message to remove “working remotely” messages. Many team members have out-of-office messages on phone and email reflecting that you are working remotely, and others have included remote work messaging in your signature. As we begin the Fall Semester on Monday, Aug. 17,  all staff are asked to turn off out-of-office message in Outlook, remove “working remotely” from email signatures and from voice mail messages – unless, of course, you are on vacation or truly not available. If  you work via telephone and you do not already have a work phone at your remote location,  please update your voice message to indicate the best way to reach you is via email and include your email address.

We are sensitive to good customer service and want to be sure that students and the community know that we are fully available during business hours. Prompt email and telephone response time reflects PRIDE in our customer service and signals that we are open for business. Our expectation is that all employees continue to be responsive in a timely manner whether you are working remotely or on campus.
