The Human Resources Department and Payroll Department are currently in the process of transitioning to a new HR and payroll management system. This transition includes a change to the recruitment and onboarding system, which will require a pause in all hiring activities for a period of time.
- Advertising for all positions will be paused beginning Oct. 1 as HR transitions to a new recruitment platform with ADP Recruitment Management. HR will be able to restart job postings in the beginning of December for January onboarding.
- Employees will be notified via broadcast when the ADP Recruitment & Onboarding platform (which will replace iCIMS) is activated. We anticipate the ability to begin advertising new positions and accepting new applications in November.
- Adjunct and Part-Time Applicant Pools will also be paused effective Sept. 30. Departments will still have access to existing applications, but no new applications will be accepted into the iCIMS system effective this date.
- The last official new hire start date for 2024 will be Nov. 18, which is two weeks earlier than in previous years. This change is necessary for not only the ADP transition, but also to adequately prepare data and file requirements that must be transmitted for the State Health Plan transition taking effect Jan. 1, 2025.
Planning for the Hiring Pause:
- If your department has urgent hiring needs, HR must receive the Position Vacancy Action Request Form (request to advertise a position) by Oct. 1.
- All search processes must be concluded in the iCIMS system by Dec. 6. HR must use the remaining time period before winter break to pull data from the iCIMS system to comply with retention requirements.
- A fully concluded search process in iCIMS means that the position is closed/withdrawn or a final candidate has been submitted to “Hired” status by Dec. 6.
- If the hiring process isn’t fully concluded, the position will be closed/withdrawn in the iCIMS system. The position will have to be readvertised in the ADP system which will require candidates reapply.
- Reminder: Nov. 18 will be the last new hire start date for 2024. Start dates will resume effective Jan. 3, 2025.
- If your position is not posted by Oct. 1, then your position may have to be postponed until early December. The anticipated new hire start date for any positions launched in the ADP platform will be Jan. 1, 2025 or later.
To assist with hiring efficiencies during this time period, a temporary hiring procedure has been enacted: until further notice, search committees will not be required for positions below paygrade P-5. With regard to Technology, search committees will not be required for positions below paygrade T-5. The temporary hiring procedure can be located on inside.cf.edu.
